#2 Memo CITY MANAGER’S OFFICE MEMORANDUM May 9, 2011 TO: Citizens Advisory Committee on Appointments FROM: Rebecca Smith, Management Assistant SUBJECT: May 19, 2011 Meeting Please find below a portion of the items comprising the meeting agenda with additional information provided. Approval of March 18, 2011 meeting minutes Please find attached the minutes from the March 18, 2011 meeting for the committee’s review and approval. Selection of Committee Chair Council Policy Statement #82 requires this committee to select a chair. The duties of the chair include calling and facilitating the meeting. Committee members may make a motion to nominate themselves or another member for Chair; once a second is received, a vote will be taken. A simple majority is needed (3 of 5 votes). Selection of recommended nominees for the following Boards, Commissions and Committees There are two vacancies on the Plan Commission. Please find attached a fact sheet. Also attached are the application forms for the individuals interested in serving. Individuals interested in serving on any committee are noted for your reference. Following any committee discussion, staff asks the committee recommend an applicant for nomination. Members may make a motion to nominate an applicant; once a second is received, a vote will be taken. A simple majority is needed (3 of 5 votes). Discussion and Possible Action on Volunteer Application Changes Staff asks the Committee to consider a suggestion for a change to the volunteer application. Staff suggests the “any committee” option be removed from the form. Citizens would still be able to volunteer to serve on any or all of the city’s standing committees. Removing the “any committee” box would require the volunteer to actively review each committee option and actively select the ones he or she is interested in.
