Minutes 05-12-09 JANESVILLE YOUTH SPORTS COALITION MEETING MINUTES TUESDAY, MAY 12, 2009 4:45 PM st 1 FLOOR CONFERENCE ROOM MUNICIPAL BUILDING Members Present: Craig Schuenke, Jim Carothers, Trevor Wallace, Bob Weilbrenner, Dave Ellis, Steve Ellis, Sue Wesson, Dave Wesson, and Scott Lipker Staff Present: Rebecca Smith ST The meeting was called to order at 4:47PM by Chairperson Sue Wesson in the 1 Floor Conference Room of the Municipal Building. Minutes April 14, 2009 Meeting th The minutes of the April 14, 2009 meeting were approved unanimously on a motion by Craig Schuenke and Steve Ellis. Janesville Youth Baseball Request for Storage Rebecca Smith mentioned that Janesville Youth Baseball has begun to store their tractor in the barn with the concrete floor. She reminded the group that coordination is needed to ensure no one gets “parked in”. She will check on whether new locks and doors could be installed and what the agreement is with the nearby tenant. Update of Use of YSC for Fourth of July Activities Rebecca Smith shared that the Oddfellows received approval of their special event permit from the City Council on May 11 and everything seems to be progressing nicely with the event. Sports Coalition members must let the Oddfellows know if they wish to have concessions by May 21. Janesville Youth Baseball does not want the Oddfellows to use a street sweeper on their fields for clean up. Rebecca Smith will put Janesville Youth Baseball in touch with the Oddfellows for them to discuss this. A yard sweeper might be OK. Discussion of Coalition Meeting Frequency The Youth Sports Coalition members decided that meeting less frequently would be OK. The Sports Coalition will meet in June and possibly July and then decide on a revised schedule. Members are always welcome to contact each other via email or to call Rebecca Smith with issues/questions. Club Reports Dave Ellis shared that the Janesville Youth Baseball concession trailer was broken into and vandalized. Rebecca Smith will check on if/when the parking lots lights turn off at night. Janesville Youth Baseball will soon be installing the irrigation system and seeding will take place soon. Rock Soccer will be hosting an exhibition game as part of the Oddfellows Fourth of July event. The group may wish to install additional signage/advertising. This will be discussed at a future meeting before anything is decided. Bob Weilbrenner would like to have fencing placed at the NE corner of the park to ensure balls do not drop off to Ruger Avenue; possibly snow fence or something permanent. Rebecca Smith will check to see if there is funding available for this or other items. YMCA will aerate their soil soon and they were encouraged by Youth Baseball to check with the City Services Center to use the City machine. T-ball begins in mid-June. Football registration begins in early June and they are planning to sell concessions at the Fourth of July event. Matters Not on the Agenda Dave Wesson shared that the Gladiators semi-pro football team may be interested in holding an exhibition game at the Youth Sports Complex for children. Rebecca Smith will look into special event permit questions related to this. Members have noticed many golf balls on the field. Rebecca Smith will look into possible sign locations and costs for the group. There being no further business, the meeting adjourned at 5:20 PM by Sue Wesson on a motion by Scott Lipker and Dave Ellis.
