MEETING MINUTES

LEISURE SERVICES CONFERENCE ROOM
Members Present: Steve Ellis, Sue Wesson, Bob Weilbrenner, Dave Wesson
Craig Schuenke, Trevor Wallace, and Dave Javan, Jim Carothers
Staff Present: Rebecca Smith, Bonnie Davis
The meeting was called to order at 4:50PM by Chairperson Sue Wesson in the Leisure
Services Conference Room. The Coalition welcomed YMCA representative Jim
Carothers to the group.
Minutes March 10, 2009 Meeting
The minutes of the March 10, 2009 meeting were approved unanimously on a motion by
Bob Weilbrenner and Steve Ellis.
Request to Use Youth Sports Complex for Fourth of July Activities
The Independent Order of Oddfellows organization has requested use of the Youth
Sports Complex for their 2009 Fourth of July activities. Staff asked for feedback from
the Coalition regarding having this event at the Complex. Coalition members shared
feedback, request and ideas with staff, as described on the attached sheet. Overall, the
group was comfortable with having the event at the Complex if the Coalition’s ideas and
feedback are implemented.
Club Reports
YMCA soccer games begin April 18. Rock Soccer is in the process of obtaining a new
water meter.
Matters Not on the Agenda
The snow fence around the unfinished playground at the sports complex has fallen due
to snow and storms and kids are getting in there to play. Dave Javon requested we
adjust the fencing to be upright until the playground is finished in early May. Parks will
follow up on this issue.
There being no further business, the meeting adjourned at 5:15PM by Sue Wesson on a
motion by Steve Ellis and Trevor Wallace. The next meeting is scheduled for Tuesday,
May 12, 2009 at 4:45PM in the Leisure Services Conference Room.

Carnival employees
Carnival employees must have appropriate behavior at all times – no inappropriate play
(playing in the mud, disrupting grass, etc)
Carnival employees must know the rules for using bathrooms and housing
Carnival must have appropriate logistics for their packages – last year FedEx did not
have a contact and did not know where to drop off the packages
Oddfellows are aware of issues surrounding the carnival employees and has
reinforced these issues and other things with the carnival company already.
All Coalition members wish to know ahead of time when the Carnival staff will arrive at
the Complex so that Coalition members may make arrangements.
Leisure Services should have their full schedule of set up, event and clean up
soon. Once I have it, I will forward it to the YSC board.
